How to use SharePoint Document Filing, screen by screen.
For most people, nothing changes
Attach a document to a record as you always have. If a rule covers that model, the file is queued and sent to SharePoint within a few minutes. You do not wait for it, and a slow SharePoint never delays a save.
Finding a filed document
Microsoft 365 > Filed Documents
Search by file name, record, folder or the person who attached it. Open takes you to the document in SharePoint; Open the record takes you back to the Odoo record it came from.
You see the filings for documents you attached. An administrator sees all of them.
Reading the log
| Column | What it tells you |
|---|---|
| When / Name / Record | What was filed, and from where |
| Folder | Exactly where it landed |
| Attached by | The person, not "the system" |
| Copy removed | Whether a second copy still exists in Odoo |
| State | Queued, Filed, Failed or Skipped |
| Error | What Microsoft said, if anything |
States
- Queued - waiting for the next run of the scheduled job.
- Filed - in SharePoint, with a link.
- Failed - Microsoft refused it, or it was retried too many times. The error says why, and there is a Retry button.
- Skipped - the attachment was deleted before it could be filed, or had no content.
Retrying
An administrator can press Retry on a failed or skipped filing. It goes back in the queue with the attempt count reset.
Most failures are a permission nobody granted yet. Fix it in Entra, then retry the lot.
Large files
Files above 4 MB are refused with an explanation. Graph needs a different protocol for those, and a truncated file in a document system is worse than a refused one. File those by hand, or keep them in Odoo.
